Tiki Kon Attendee Agreement

By attending Tiki Kon (“Event”) at the DoubleTree by Hilton hotel in Portland ("Hotel"), you (“Guest”) agree to the following waiver and terms & conditions. If you purchase tickets/passes or reserve hotel rooms on behalf of other attendees, they are considered your guests, and you are responsible for providing them a copy of this agreement, and for their acceptance of and compliance with this agreement. Failure to comply with this agreement may result in you and your guests being ejected from Tiki Kon or the Hotel at the discretion of Event or Hotel staff.

SUMMARY

  • You release us from any liability or claims due to accident, injury, theft, illness, or any other cause.
  • You agree to follow all health and safety protocols, especially pertaining to COVID-19, whether they be state or local mandates, or Event or Hotel policies.
  • You understand that Event admission does not include lodging, and all accommodation arrangements must be made by the guest directly with the Hotel.
  • You consent to information sharing between our host hotel and Tiki Kon.
  • You acknowledge that the Event schedule of events may change without notice.
  • You understand that refunds may only be available until June 24, 2022, at 10:00 AM Pacific Time, except in certain situations.
  • You agree to abide by the Tiki Kon Code of Conduct and dress code.
  • You consent to being photographed and/or recorded.

WAIVER OF LIABILITY

  1. You assume the risks associated with attending an event where alcohol is served and consuming alcohol, and take full responsibility for your own actions, health, safety and welfare.
  2. You acknowledge and agree that Tiki Kon shall not be responsible or liable for any accident, injury, theft, illness, loss or damage whatsoever sustained by you in conjunction with your attendance at any part of the Event. You waive any and all claims against Tiki Kon.
  3. You understand that it is solely your responsibility to be present at all scheduled points of departure at the times and locations provided by Tiki Kon, for transportation to off-site portions of the Event. Tiki Kon does not assume any responsibility or liability for any expenses incurred by you, direct or consequential, by reason of your failure to board Event transportation for any reason or get ejected from off-site activities or Event transportation due to overconsumption or Code of Conduct violations.
  4. You understand that Tiki Kon cannot certify or guarantee the ingredients of any meals included in ticket packages. We will do our best to work with the Hotel to provide vegetarian and gluten free meal options, and to provide detailed ingredient lists upon request at the time of serving, but we cannot guarantee the accuracy of such. If you have critical food sensitivities, we suggest considering alternate dining options, or contact us to see if an accommodation can be made.

HEALTH AND SAFETY

  1. You agree to be a good citizen and not attend Tiki Kon if you are experiencing symptoms of COVID-19 or are quarantining due to recent exposure. See our Refund Policy below to determine whether you might be eligible for a last-minute refund due to illness.
  2. You agree to be subject to a health screening at Event check-in, including a questionnaire and contactless temperature checks, if Event or Hotel staff deem them necessary at the time of the Event in order to prevent community spread of COVID-19.
  3. You understand that you may be excluded from the Event and asked to forfeit your admission wristband if you are exhibiting visible symptoms of COVID-19, even if it's not COVID. You should not be attending a social event while visibly sick with a contagious illness, no matter what the illness. In this instance, a full refund for tickets will be provided in accordance with our Refund Policy.
  4. You agree to follow all health and safety protocols in place at the time of the Event, especially pertaining to COVID-19, whether they be state or local mandates, or policies established by Event or Hotel management. You understand that Tiki Kon cannot keep you safe from COVID-19, and that you are responsible for maintaining measures to keep yourself safe, including social distancing, frequent hand washing, wearing a high-quality N95/KN95/KF94 mask that is properly fitted at all times, and self testing.

TERMS OF ACCOMMODATION

If you are lodging at the DoubleTree by Hilton, the host hotel for Tiki Kon, as part of your attendance at Event, the following additional terms apply:

  1. You consent to allow Hotel to release your reservation and contact details to Tiki Kon, and to allow Tiki Kon to release your name and attendance information to Hotel.
  2. Prior to departure, you agree to pay all incidental charges made against your guest room.
  3. Event admission does not include lodging, and all accommodation arrangements must be made by the guest directly with the hotel, including requests, changes, cancellations, and disputes about room charges. Please inquire directly with the Hotel regarding cancellation policies.
  4. You agree to abide by all Hotel policies and directions from Hotel staff.
  5. You understand that Tiki Kon is not responsible for any liability or damages if you or your guests are excluded from the Event or Hotel property for any reason.

SCHEDULE CHANGES AND CANCELLATIONS

You acknowledge that event schedules, times, performers, presenters, bar tour skippers, and all other aspects of Tiki Kon are subject to change at any time due to conditions beyond our control. No part of a weekend pass shall be refundable if an included individual performance, presentation, or activity is changed or canceled. Separate add-on tickets for special presentations are refundable if canceled. In the event that the Tiki Kon Sunday Bar Tour is canceled, a partial refund may be issued to holders of Super Weekend Passes.

Super Weekend Pass holders are asked to specify a 1st and 2nd choice of bar tour bus skippers when purchasing their tickets or when checking in at the beginning of the Event. These are requests only. We cannot guarantee that you will be accommodated on either of the buses you selected, but we will do our best to honor your request and keep your party together.

REFUND POLICY

Tickets may be canceled and refunded for any reason until 6/24/2022 at 10:00 AM Pacific Time. After that time, tickets are non-refundable except in certain situations as described herein.

  • Guests may cancel until July 1, 2022, at 10:00 AM Pacific Time, and receive a refund if they are ill and can provide documentation of a positive COVID-19 viral test. After that time, refunds will be pro-rated based on the time/day that the cancellation request was received.
  • Guests who are excluded from the Event due to visibly exhibiting COVID-19 symptoms will be provided a refund.
  • Guests who are excluded from the Event due to violations of the Attendee Agreement will not be provided a refund and may be prohibited from attending future events.

Ticket processing fees may not be refundable depending on the policies of the third party ticketing vendor. To request cancellation and refund, you must send a request by email to info@tikikon.com. It may not be possible to issue refunds directly back to the original purchase credit card more than 6 months after purchase, depending on the policies of the ticketing vendor or payment processor. Refunds will be issued no later than 30 days after the qualified request is received, but will most likely be handled immediately.

CODE OF CONDUCT

  1. You understand that you will be a member of a group and agree to conduct yourself responsibly and in a way that does not endanger yourself or the group, threaten the safety of others, or detract from the enjoyment of those around you.
  2. You understand that you may be ejected from the event without recourse for drinking too much and making a scene, bad behavior of any kind, or any other reason at the discretion of Event or Hotel staff.
  3. You agree to comply with all state and local public health mandates and Event health and safety rules, including but not limited to those related to the COVID-19 pandemic such as wearing masks and social distancing if applicable, and understand that refusal to do so, creating a scene, or surreptitiously defying the rules will result in immediate ejection from Event without recourse. 
  4. You agree to not bring outside alcoholic beverages into meeting rooms, performance spaces, or common areas of the hotel during Tiki Kon weekend. Room drinks may only be consumed in guest rooms. Only alcohol purchased from hotel staff may be consumed on premises outside of private guest rooms. Consumption of outside alcohol may result in confiscation and your exclusion from the event. Violations of this policy put our host hotel's liquor license at risk, and we take it very seriously.
  5. If you are hosting hosting a party, gathering, or hospitality suite in a private hotel room at the Event, you agree to:
    1. Follow all hotel policies, including but not limited to those regarding noise and nuisance, and to follow directions of hotel staff,
    2. Keep private parties private, and admit only friends or registered Tiki Kon guests,
    3. Not sell alcohol to anyone, nor serve alcohol to minors,
    4. Verify all guests in attendance have valid Tiki Kon admission wristbands.
  6. You agree not to re-sell any official Tiki Kon merchandise for a period six (6) months after the event without the express consent of the event producers. We do this to prevent "flipping" of our exclusive, limited edition items, and to ensure there is enough merchandise for all attendees who wish to purchase. Flippers will be banned and publicly shamed.
  7. You agree to not re-sell Tiki Kon tickets/passes for more than you paid for them and understand that doing so will result in a permanent ban from attending future events.
  8. You agree to never be cross, mean, rude, or disrespectful to Tiki Kon volunteers, and understand that this is never acceptable and is grounds for being ejected without refund and permanently banned from the event. Volunteers work for free and deserve respect. If you are incapable of expressing yourself civilly and need someone to shout at, ask to speak to a manager or event organizer.
  9. You agree to not attempt to acquire tickets/passes for which you are not eligible, through dishonesty, hacking the system, or any other fraudulent means, and understand this will result in a permanent ban.
  10. You agree not to sell photographs or time based media captured at Tiki Kon, or use them for any commercial purposes, without the express written consent of a) all persons appearing therein, and b) the owners of any copyrighted or trademarked materials appearing therein.

DRESS CODE

Though we hearken back to an era when men and women dressed more formally than they do today, Tiki Kon has a fairly relaxed dress code. We encourage guests to dress in their best vintage attire and/or festive aloha wear, especially for the Saturday banquet dinner, but more casual attire is acceptable.

The following are not allowed in public areas at Tiki Kon:

  • Clothing or accessories with political, divisive, obscene, evangelical, or otherwise objectionable language or graphics
  • Costumes that obscure a guest's identity
  • Bare feet, except poolside

Guests who violate the dress code will be asked to immediately change their clothing. Failure to comply may result in immediate ejection from the Event without refund. Determination of whether attire violates the dress code will be solely at the discretion of Tiki Kon staff.

NOTICE OF FILMING AND PHOTOGRAPHY

By attending Tiki Kon, you consent to being photographed, filmed and/or otherwise recorded by official event photographers, members of the press, vendors, other guests, and other affiliates.  Your entry into the Event constitutes your consent to such photography, filming and/or recording and to any use, in any and all media throughout the universe in perpetuity, of your appearance, voice and name for any purpose whatsoever in connection with Tiki Kon.
